Terms & Condition
By booking or participating in any trek, trip, camping activity or outdoor experience organised by ROAM WILD, you acknowledge and agree to the following Terms & Conditions.
1. Minimum Group Size
A trek may require a minimum number of participants, generally 10–12 participants, for the event to be conducted. If the minimum number is not reached, ROAM WILD may reschedule the trek or offer an alternative trek/activity.
2. Age & Eligibility
The minimum age for participation is generally 10 years, unless otherwise specified for a particular trek. Certain treks may have different age, fitness or experience requirements.
Participants must ensure that they are physically and mentally capable of participating in the selected activity.
3. Fitness & Health
Trekking involves physical exertion and varying levels of difficulty. Participants are responsible for assessing their own fitness and informing ROAM WILD of any relevant medical conditions, allergies, injuries or other circumstances that may affect their participation.
ROAM WILD may restrict participation where a participant is considered unfit or where continuing the activity may create a safety risk.
4. Permits & Government Restrictions
Certain treks require permits or permissions from forest authorities, government departments or other relevant authorities.
Where permits are required, the availability and timing of the trek may depend on the concerned authorities. If a required permit is unavailable, ROAM WILD may offer an alternative trek/date or, where applicable, initiate a refund in accordance with the applicable cancellation and refund policy.
If permits are optional or available at an additional cost, this will be communicated before booking.
5. Trek Timings & Itinerary
The timings displayed on the website are indicative and may be subject to change depending on forest permissions, weather, traffic, local restrictions, operational requirements and other circumstances beyond ROAM WILD’s control.
The actual start time of a trek may depend on when the relevant authorities permit the group to begin.
ROAM WILD reserves the right to modify the itinerary, route, timings, activities or meeting points where reasonably necessary for safety or operational reasons.
6. Accommodation
Accommodation provided during trips may vary depending on the destination and package. Facilities may include tents, sleeping bags, dormitories, rooms with beds or other basic accommodation arrangements.
Our accommodation and facilities are intended to be clean, functional and comfortable for an outdoor travel experience and should not be considered luxury accommodation unless specifically mentioned in the package.
7. Meeting & Pickup Points
ROAM WILD will provide designated pickup and/or drop-off points wherever applicable.
Participants are responsible for making their own arrangements to reach the designated pickup point on time.
Participants arriving late or missing the designated pickup may be required to arrange their own transportation and may not be eligible for a refund.
8. Participant Conduct
Participants are expected to behave responsibly and respectfully towards fellow participants, organisers, guides, local communities, accommodation providers and authorities.
ROAM WILD reserves the right to remove a participant from an event if their behaviour creates a safety risk, causes significant disruption, damages property, delays the group or violates applicable laws or these Terms & Conditions.
No refund will be provided in such cases, and the participant may be required to arrange their own return transportation.
9. Alcohol, Smoking & Prohibited Activities
Smoking, consumption of alcohol and use of prohibited substances may be restricted or prohibited during treks and outdoor activities, particularly where prohibited by law, forest authorities, accommodation providers or ROAM WILD’s event rules.
Participants must follow the instructions of the trek leader, guide and relevant authorities at all times.
Consumption of alcohol or any behaviour that compromises the safety of the participant or others may result in immediate removal from the activity without refund.
10. Safety & Inherent Risks
Outdoor activities and trekking involve inherent risks, including but not limited to falls, slips, uneven terrain, weather conditions, insect or animal encounters, altitude, dehydration, physical exhaustion and other natural or environmental hazards.
Participants voluntarily undertake these activities and agree to follow all safety instructions provided by ROAM WILD, trek leaders, guides and relevant authorities.
A participant’s inability to complete a trek or reach a summit due to personal fitness, health, experience or other individual limitations does not automatically entitle them to a refund.
11. Personal Belongings
Participants are responsible for their own belongings, valuables, jewellery, electronic devices, luggage and other personal items.
ROAM WILD shall not be responsible for loss, theft or damage to personal belongings except to the extent required under applicable law.
12. Weather & Unforeseen Circumstances
Outdoor activities are subject to weather and environmental conditions.
In the event of adverse weather, natural disasters, government restrictions, forest restrictions, road closures, safety concerns or other circumstances beyond ROAM WILD’s reasonable control, activities, routes or itineraries may be modified, postponed or cancelled.
Where reasonably possible, ROAM WILD may provide an alternative activity or reschedule the event. Refunds, if any, will be handled in accordance with the applicable cancellation/refund policy and the circumstances of the cancellation.
13. Cancellation & Refunds
Cancellation and refund eligibility will depend on the cancellation policy applicable to the particular trek, trip, activity, ticket or third-party service.
Where a service is provided by a third party, such as transportation, accommodation, entry tickets or permits, the applicable third-party cancellation terms may also apply.
Tickets, permits or bookings purchased from third parties may be non-refundable or non-transferable where specified by the relevant provider.
The cancellation and refund terms applicable to each booking will be communicated at the time of booking wherever applicable.
14. Booking Confirmation
A booking or payment does not necessarily guarantee final confirmation where the activity is subject to minimum group size, permits, availability or confirmation from a third-party service provider.
Where organiser confirmation is required, participants must complete the required communication or confirmation process after booking.
15. Arrival Time
Participants should arrive at the designated meeting point at least 20 minutes before the scheduled departure time, unless otherwise instructed.
Late arrival may result in the participant missing the departure, and no refund may be provided in such circumstances.
16. Environmental Responsibility
Participants must help us preserve the places we visit.
Littering, damaging natural surroundings, disturbing wildlife, or leaving waste behind is strictly prohibited. Participants must follow local environmental, forest and government regulations and dispose of waste responsibly.
17. Photography & Content
ROAM WILD may photograph or record participants during its activities for promotional, social media, website or marketing purposes.
Participants who do not wish to appear in promotional photographs or videos should inform ROAM WILD before or during the activity.
18. Changes to Terms & Conditions
ROAM WILD may update these Terms & Conditions from time to time. Updated Terms & Conditions will become effective once published on the website.
The Terms & Conditions applicable to a booking will generally be those in effect at the time of booking, unless changes are required by law or applicable authorities.
19. Right of Admission
ROAM WILD reserves the right to refuse or restrict participation where reasonably necessary for safety, legal, operational or conduct-related reasons.
20. Acceptance of Terms
By making a booking or participating in a ROAM WILD activity, you confirm that you have read, understood and agreed to these Terms & Conditions.
